    PLANNING COMMITTEE MEETING MINUTES
    July 10, 2002

    The meeting was called to order by Dean Duggar at 2:00 p.m.

    CAPITAL CAMPAIGN
    Carleen discussed the video for the Capital Campaign and stated that it is almost ready. We need to persuade people that see the video to donate money and time. Carleen would like to focus on the various areas such as scholarships and fellowships and have students convey on the video that they wouldn’t have been able to attend college without their scholarship money. We need to do something to persuade people to donate. She would like to finish the video in a month. Dean Duggar discussed the dinners that were held that were bought at the Emerald Gala. The Capital Campaign was discussed with the dinner participants and the reaction regarding the Capital Campaign was not especially receptive. The Rotary Club was presented with the Capital Campaign information but no particular response there either. Dr. Seydel suggested mentioning that software grants from the industry have been given to ASU and that this is very beneficial to the students. Carleen stated that the video is about 8-10 minutes long. Dr. Replogle asked if we want to digitize the video and then have it put on the website. Carleen stated that we would like to do that eventually. Dr. Bevill suggested that we have a pamphlet that is smaller than our viewbook that we could pass out and Carleen stated that we do have something like that already. Dean Duggar stated that it is a four-fold pamphlet to pass out. Carleen talked to Matt at Microsoft and asked if they were interested in doing something but Les Wyatt was supposed to meet with him and take a tour of the facility. However, Les Wyatt couldn’t make the tour and Matt told Carleen to e-mail him and let him know what he can do. He stated that he couldn’t promise anything but he could get the information to the right people. Dean Duggar told Carleen that he will check into this further. Carleen is going to meet with Mark Duckworth and Dean Duggar commented that he was supposed to meet with Mark but re-scheduled for next week. He told Carleen to convey to Mark that he is interested in their Executive Advisory Group.

    Carleen commented that she would like to involve the students in the Capital Campaign. Maybe pit organization against organization and give a prize for raising the most money.

    Dean Duggar visited with Jennus Burton regarding the building. If we can get so much money first, he will ask the legislature to help in this funding through a special appropriations bill.?


    Carleen commented that the Business Connection should go to press this week. She should have another proof on the Capital Campaign by Friday.

    SCOUT CAMPUS
    Dr. Roe discussed the Scout Campus to be held on September 28th – The University is hosting a summer scout meeting for boy scouts and girl scouts to get students acclimated to the college. They are asking various academic areas to participate by offering a 3-hour Saturday workshop to assist scouts in earning merit toward badges. Chairs are to contact Dawn Tucker by the 26th of July with a proposal from their department of what kind of workshop they would like to participate in by submitting the following information: 1) workshop type, 2) contact person, 3) maximum number of scouts per session, 4) morning or afternoon session, and 5) any funds needed to purchase workshop supplies.

    Dr. Frey stated that Center for Family Business could do something. He also commented that he may have around 50 Russian kids available to participate in this. They’re here because they attend a camp to learn English and then they come here to interact with students. This is a relationship that evolved from Rotarians attending in Russia.

    Jim Washam stated that he could get someone to do Dollars & Sense

    TECHNOLOGY DOLLARS
    Dr. Roe commented that no funds will be released until UPC meets. Accounts have been set up in anticipation of money being released and allocated. A report will be requested from Academic Affairs areas during Spring 2003 to explain how these funds were spent. These reports will be used to report to UPC how AA technology funds were used and what remains to be done with anticipated dollars. Nothing came out of the meeting – Dean Wheeler attended in Dean Duggar’s absence. Don’t know how much funds will be available or when. Dean Wheeler sent a proposal to Dean Duggar after the meeting about not touching the Student Technology Infrastructure Funds.

    TEXTBOOK ADOPTION ISSUES
    A special joint legislative committee (a parent of an ASU student is on this committee) was appointed to look at the high turnover and cost of textbooks. Try to minimize the number of different texts to use. Wherever possible, get orders in early. Multiple texts being used, telling students to wait to get the books and then when student goes to get book, it’s not available and then more cost is involved due to reshipping and stocking. Dr. Roe commented that there is a potential UPS strike in August, so order books early for the Fall 2002 classes. Lynita will be happy to meet with Departments and to relay their concerns back to ADHE.

    STUDENT ORIENTATION
    A handout with the dates of the New Student Orientations was given to the Department Chairs. Dean Duggar asked Dr. Bevill how these have been going and she said that they have been going very well

    PREVIEW DAYS
    Carleen commented that she would like to do what was done the last time – getting faculty involved with games etc. Dean Duggar would like to order t-shirts. Also make sure to order luggage tags and pinlights for preview days. Dean Duggar asked Carleen what the status was on the Preview Book which is the overview of the college and Carleen commented that this is on the backburner at the printer.

    ENTERTAINMENT FOR FACULTY/STAFF PICNIC
    Dr. Roe and Chris informed the Planning Committee of the various bands that have been contacted as entertainment for the Faculty/Staff Picnic. Philip Jackson – $500 for Friday night and plays Baby Boomer music and Mike Overall - $600 for a 4 piece jazz ensemble and they do not play country or rock ‘n roll. Mike was supposed to give Chris a CD and handouts but she hasn’t received anything to date. Dr. Replogle stated that he would contact a band called “Rhyme & Reason” tonight and let me know the price. He commented that they are very good and that they play a wide variety of music. So as soon as Dr. Replogle gets their price, a decision will be made on who to book for the picnic.

    OTHER
    Emerald Gala – Carleen commented that Dana Alexander has a contact at the Collonade but cannot promise anything. If we book the gala at St. Bernard’s we cannot serve alcohol for a non-St. Bernard’s function. We still have the Holidome however; if nothing else pans out.

    Dr. Bevill commented that she misstated Pat Toney-McLin on Internship Committee – it should be Tina Quinn. Chris will change this on Committee List and distribute to all Faculty at the Faculty/Staff meeting in August.

    Next meeting is scheduled for July 24th in the College of Business Conference Room BU105.

    Meeting adjourned at 3:00 p.m.
